What is a Task?

A Task represents a unit of work to be done on your farm. Tasks can be standalone activities or linked to field operations and irrigation schedules for coordinated workflow management.

Tasks are the foundation for organising farm work — from quick repairs to complex multi-day operations.

Categories

Task Categories

Categorise your tasks to make filtering and organisation easier.

  • Personal Individual activities, training, admin
  • Repairs Equipment repairs, building maintenance
  • Livestock Animal husbandry, mustering, treatments
  • Infrastructure Fencing, water systems, sheds
  • Supplies Product purchases, deliveries, inventory
  • Field Work Paddock activities not linked to FOPs
  • Other Anything else

The Task Wizard — 5 Steps

From the Home screen, tap Tasks, then the + button to launch the wizard.

Task Info

Enter the basic task details:

  • Task Name (required) — A clear description of what needs doing
  • Description (optional) — Additional context, instructions, or notes
  • Category — Select the appropriate category from the picker

Priority & Status

Set the urgency and current state:

  • Urgent (red) — Immediate attention required
  • High (orange) — Important, do soon
  • Medium (blue) — Standard priority (default)
  • Low (grey) — When time permits

Tip: Setting status to In Progress and saving will open the execution workflow.

Schedule

Set the timing for the task:

  • Start Date — When work should begin (defaults to today)
  • Due Date — When work should be completed (defaults to tomorrow)
  • Effort Estimate — Estimated hours to complete (optional)

Location

Add the task location using one or more methods. Location enables geofence reminders and helps workers find the job site.

  • Select Markers — Choose from your property’s existing markers (gates, valves, landmarks)
  • Add from Map — Tap locations on the map to add coordinate points
  • Add from Photos — Extract GPS coordinates from photo metadata
  • Take Photo — Capture a photo at the task location

The app automatically detects if the location falls inside a mapped paddock and shows the Area name.

Assign & Review

The final step handles assignment, integrations, and confirmation:

  • Assign to a team member or external contact
  • Link Operation to connect to a Field Operation Plan
  • Link Irrigation to connect to an irrigation log
  • Sync with Reminders for Apple Reminders integration
  • Geofence Alert to trigger a reminder when you arrive at the location

Review the task preview card, then tap Save to create the task.

List View

Finding Your Tasks

The Task List shows all tasks for the current property with filtering and search.

  • Default View Shows “My Tasks” with “To Do” status — tasks you created or are assigned to you
  • Ownership Filter Switch between My Tasks and All Tasks
  • Status Filter To Do, In Progress, Completed, or All
  • Priority Filter Show only Urgent, High, Medium, Low, or None
  • Sort Options Priority (default), Due Date, Name, or Status
  • Summary Card Shows counts of To Do, In Progress, and Completed tasks — tap a count to filter

Task Detail View

Tap any task to open the detail view with five tabs for editing and collaboration.

Details Tab

Shows the Task Wizard in edit mode.

  • Modify any task field
  • Only the task creator can edit
  • Team members see “View Only”

Comments Tab

Threaded discussion for the task.

  • Add comments with text and photos
  • @mention team members
  • Reply in threads
  • Real-time sync across devices

Resources Tab

Request materials, equipment, or assistance.

  • Material, Equipment, Tool requests
  • Assistance, Service, Part, Chemical, Fuel
  • Urgency levels: Low to Critical
  • Workflow: Pending → Approved → Fulfilled

Send Tab

Quick communication with the task assignee. Opens device messaging with contact info pre-filled — useful for urgent updates outside the app.

Operations Tab

Shows linked field operations and irrigation logs. Tap a linked FOP to view its details. Badge shows count of linked operations.

Execution

Executing a Task

When you change a task’s status to In Progress and save, the app opens the appropriate execution view based on linked operations.

  • Tasks with Linked FOP Opens the full GPS execution view with A–B guidance, coverage tracking, and product management
  • Tasks without FOP Opens the Simple Execution view with work timer, navigation, comments, and resources

Simple Execution Features

  • Task Summary Card Name, description, category, priority, due date at a glance
  • Photos Section View attached photos — tap any thumbnail for full-size view
  • Work Timer Start, Pause, Resume, Complete buttons with accumulated time tracking
  • Location Map Satellite view with Navigate button for Apple Maps directions
  • Comments & Resources Quick access to add comments or request materials

Suspend & Resume Support

Your work time is preserved even if you leave the app or your device restarts.

Pause Anytime

Use the Pause button to stop the timer. Your accumulated time is saved immediately.

Resume Later

When you reopen a task with status “In Progress” and existing work time, the timer resumes from where it left off.

Complete When Done

Tap Complete to finish. Total work time is recorded, status changes to Completed, and data syncs to Firebase.

App Termination: If iOS terminates the app while you’re timing, your last saved work time is preserved. Only time since the last save (pause or app suspension) may be lost.

Integration

Apple Reminders Integration

Sync tasks with iOS Reminders for notifications, Siri integration, and location-based alerts.

  • Setup In Step 5 of the wizard, toggle Sync with Reminders, grant permission, and select a reminder list
  • What Syncs Task name, description, due date, priority, completion status, and location
  • Bidirectional Sync Changes in Alffi update the reminder; completing a reminder marks the task complete
  • Geofence Alerts Enable with a task location to trigger a reminder when you arrive within the task radius

Tip: Geofence alerts are great for location-based tasks — get reminded to check the pump when you drive past the pump shed.

Team Collaboration

Tasks support full team collaboration through comments, resources, and real-time sync.

Assignment

When you assign a task to a team member:

  • The task appears in their “My Tasks” filter
  • Badge counts update on their Tasks card
  • They can view details, add comments, and request resources

Ownership Rules

Who can do what:

  • Creator: Edit details, add comments, request resources, mark complete, archive
  • Assignee: Add comments, request resources, mark complete
  • Others: Add comments, request resources (view only for details)

Real-Time Sync: All task data syncs via Firebase. Comments appear immediately on all devices, resource request status updates in real-time, and task completion syncs to assigners and assignees. Works offline — changes queue and sync when reconnected.

Tips for Task Management

Naming Tasks

Be specific and consistent.

  • “Fix broken hinge on Gate 7” not “Fix gate”
  • Include location in name if not using location field
  • Use consistent naming for recurring tasks

Location Best Practices

Always add location for field-based tasks.

  • Enables geofence reminders
  • Shows workers exactly where to go
  • Location appears on map in execution
  • Area name detection confirms correct location

Linking Operations

Coordinate tasks with field operations.

  • Link tasks to FOPs for spraying/spreading
  • Task handles scheduling and assignment
  • FOP handles GPS execution and products
  • Completing FOP can auto-complete task

Troubleshooting

Task not appearing in my list

Check the ownership filter — try “All Tasks” instead of “My Tasks”. Check the status filter — the task might be in a different status. Ensure you’re viewing the correct property.

Can’t edit task details

Only the task creator can edit details. Use Comments, Resources, and Send tabs for collaboration. Ask the creator to make changes if needed.

Apple Reminders not syncing

Go to iOS Settings → Alffi. Check Reminders permission is set to “Full Access” (iOS 17+). Toggle the permission off and on if stuck. Re-enable sync in the task.

Geofence reminder not triggering

Ensure the task has a location set. Check task radius is appropriate (default 100m). Verify Location Services is enabled for Alffi. Geofences may be delayed by iOS battery optimisation.

Work time reset after app restart

Ensure task status is still “In Progress”. Work time is saved when you Pause or when the app suspends. If the app was force-quit during active timing, time since last save may be lost.

Task not syncing to team

Check internet connectivity. Verify cloud sync is enabled (requires Pro subscription). Pull down to refresh the task list. Check Settings → Cloud Sync status.
